Notes for Speakers
Update! The 4th EMVBM meeting has more than 90 presenters speaking across three rooms over the duration of the conference. These notes will help us to provide you with your presentation at the right time, in the right room and ensure the conference runs smoothly.

Additionally there are some notes to help you if you are new to presenting.

Projection:

Christie Digital LCD projector; projection via PC
Video projection only by previous arrangement
  • Read in from data carrier from the following media:
    CD-ROM, ZIP-media up to 250MC, Windows XP compatible memory sticks
  • Permitted programmes:
    Microsoft Powerpoint (up to version 2003 standard)
  • Permitted video formats:
    Standards (*.avi, *.mpg) which can be played with Windows MediaPlayer

Recommendations to Speakers:

  • Make a new directory in which all files relating to your presentation are saved. (eg. emvbm2007_your last name_number of presentation)
  • Save in the permitted file formats
  • Save related pictures, videos, tables as supplementary file(s) in the directory.
  • Save the complete list on a data carrier.
  • Please use window's standard fonts, to prevent problems during conversion

In General:

All files should be loaded in the room in which you are presenting (either the Great Hall, Reception Room or Room 3.31) in consultation with the audio visual technician.
Presenters are advised to ensure that their presentation is loaded no later than the refreshment break before their presentation session.

Presenting:

  • Whether you are due to talk from one of the top tables or the lectern you will have one or two small goose neck fixed lectern microphone(s) in front of you. Our sound engineers will ensure that the microphones are working before you speak and there is no need to tap them.
  • When sitting at the top table, sit normally, facing the microphone (and your audience) and talk normally. The microphone is designed to pick up your voice without you having to lean in to it.
  • At the lectern you will have one microphone. Again stand facing the lectern (and your audience) and talk normally.
  • The microphones are very directional and therefore you will need to keep them in front of you in order to be heard. The microphones will struggle if you turn away from them or move away from the lectern.
  • The lectern will be positioned to one side of the stage and angled allowing you to refer to your presentation without turning away from the audience. If you are turning to look at the screen take a slight step to the side (away from the screen) and this will help you maintain a good position in front of the microphones.
  • Speak slowly so that you can be heard clearly. Good presenters often say that they feel they are talking too slowly. This overcomes everyone’s natural tendency to talk quickly when nervous or in front of a large group.
  • Try to keep your head up and look at the delegates sitting at the back of your room. This will make you more engaging to your audience.


Information for poster presenters

Poster Board Size:
Width 1.0 m (100 cm) x height 2.0 m (200cm) - Portrait

Your poster size should be no more than:
Width 0.95m (95 cm) x height 1.50m (150 cm) - Portrait

The figures in parentheses below the programme number in the programme book you will receive at the registration desk designate the poster area and site.

Poster Sessions:

Posters will be exhibited in the poster areas throughout Tuesday or Wednesday as
indicated in your notification and the final programme.

Each poster presenter should be prepared to summarise his/her main findings within 4 minutes.

Highlighted Poster Sessions:

Highlighted Poster Sessions will take place in Poster Area A on Tuesday and Wednesday. They will be moderated between 13:00 and 14:30. Highlighted posters will be considered for poster prizes of GBP 100 each.

For all posters there will be:

Discussion in the presence of the presenters

  • Tuesday 18 September 2007
    Poster Area B - K 16:00-17:30
  • Wednesday 19 September 2007
    Poster Area B - M 16:00-17:30

Refreshments will be available from 16:00 with wine from 17:00.

There will also be the opportunity for delegates to view your posters between 10:30-11:30 hours on both Tuesday and Wednesday but authors are not obliged to stand by their work during this time.

Set up:

Please set up your poster on the day of presentation between 08:00-08:30 and be present by your poster during the poster discussion.

Remove your poster at the end of the day. Any posters remaining by 18:00 hours will be taken down and destroyed.

Displays including tables, chairs, laptops and other equipment are not permitted.
Velcro will be provided and a sufficient amount will be left on each poster board.

NO pins, blue tak, cellotape or other means of attachment are permitted. If any other attachment method is used other than the velcro provided, then the presenting author will be liable to a charge for the damaged poster board.
